STATS - Student Timetable Absence Tracking System

How does STATS work?

STATS uses simple portable barcode scanners, which are used to scan barcodes which are printed on class lists. The system uses Student Monitors, who go from classroom to classroom with the scanner, pass the scanner to the Teacher in charge of each class, who scans the barcodes of absent students. The information from these scanners is uploaded into the STATS database at the completion of each lesson. This information is then available from any workstation that has the STATS system set up on it and is connected to the network where the STATS database is stored.

Why use Student Monitors?

By using Student Monitors to deliver the barcode scanners to each class, not only SIGNIFICANTLY reduces the cost of hardware to operate the system, but also provides the students with a valuable experience.

Generally, students are monitored to do this task for one day each year, however some may be called for a second time depending on the size of the school. During the day where they are a student monitor, it allows the student to do something for the school, plus gives them responsibility, requires them to undertake a task that is relatively unsupervised and requires them to interact with a range of different people.

 

Why is the Information Useful?

Some of the benefits include -

The system highlights which students have been truanting lessons and this information can then be used to implement corrective actions. This has also been used to highlight students who have been truanting as they are having problems with the course and are afraid to ask for assistance. In this case, the system has been very positive and actions taken to ensure that the student receives assistance and is comfortable to continue with the course.

The system can display student timetable and contact information, as well as class absences, day absences and incidental absences, which can be accessed by teachers across a network. If a student has been absent from a class, the teacher can log into the system at any time of the day and quickly see if the student was absent from home group and/or any other classes for the day. If any action is required, this can then be quickly followed up.

Similar systems have been used interstate and overseas and has seen an increase in student attendance rates at those schools.

How much does STATS cost?

This system can be installed, including all hardware, training, linking to EDSAS etc for less than $10 000 (ex GST) at most schools. The system is currently running in 2 of the largest schools in South Australia.

Other similar systems use Palm Pilots and/or scanners located in each class room. The cost of these items is SIGNIFICANT, not just an initial cost, but the life span of a palm pilot is 3-6 years and hence they have to be replaced every few years.

All of the STATS software can be installed on your current network that is running EDSAS, hence the only hardware cost is for the portable scanners, of which small schools require one scanner and the larger schools require up to three. The price of the scanners is comparable to a Palm Pilot.

Hence, the cost of Hardware is a FRACTION of the cost required to set up similar systems.

The price of the software is also SIGNIFICANTLY lower than that of other similar systems.
